CLIENT ONBOARDING

WELCOME TO AGENCY ADVANTA

Let’s get you
set up properly.

We build your outreach system. You manage the conversations, with your team or our AI reply tools. Here’s how we get there, together.

THE ORG CHART METHOD

The right companies.
The right people.
A reason to talk.

We look at how your ideal clients are organised, identify work your service could help with, and find the person responsible for it.

Then we start a relevant conversation. A possible gap is a starting point for research, not an assumption that a company needs your service.

FROM ONBOARDING TO LAUNCH

Build the foundations first.

On your onboarding call, we review your offer, audience and goals. We agree the targeting, messaging, setup requirements and who will manage replies.

We handle

  • Offer and audience review, lead research and outreach scripts.
  • The agreed accounts, sending platforms and automations.
  • Your first lead list, campaign setup and technical checks.
  • AI reply configuration and testing, if you’re using it.

You provide

  • Business context, offer materials and honest proof of your work.
  • Required software subscriptions and authorised account access.
  • Feedback and approval of targeting and messages.
  • A working booking calendar and a named reply owner.
Setup planning window: around 5–10 working days once we have what we need. Your CSM confirms your target date after reviewing access, account readiness and approvals. This is a planning guide, not a guaranteed launch deadline.

WHAT TO EXPECT

A clear start.
No guessing along the way.

01 / TIMING

Setup comes before bookings.

Your onboarding date is not your campaign launch date. Account access, approvals and any channel preparation must be complete before outreach starts.

After launch, we use replies and call outcomes to improve the campaign. We do not promise a first booking by a particular day, a fixed weekly volume or guaranteed sales.

02 / SUPPORT

One place to get help.

Your dedicated Slack channel is the main place for questions, updates and blockers. Your CSM coordinates the next step with the team.

Monday–Friday, 9am–5pm EST. Support is asynchronous, not a live chat service. Messages outside these hours are picked up during the next support window; weekend replies are not guaranteed.

03 / REPLIES

Your inbox needs an owner.

You or your team manage prospect conversations and bookings. If you use AI replies, we help configure the tool around your offer, tone and qualification rules.

AI still needs oversight. Check handovers, missed replies and unusual questions daily. Until the team confirms AI is active and tested, replies need to be handled manually.

04 / COSTS & SCOPE

We build. You stay involved.

DFY covers the agreed setup. You pay for the required software and accounts separately. We confirm the stack and costs before you purchase.

After launch, we support you through reviews and coaching. Ongoing lead top-ups, campaign changes and maintenance depend on your agreed programme; setup alone is not unlimited ongoing management.

If something is holding things up, tell us in Slack.Include the affected tool, what happened and a screenshot or Loom where useful. Missing access, late feedback or account restrictions can move the launch date. Your CSM will confirm the blocker, next action and revised plan.

BEFORE YOUR ONBOARDING CALL

A little preparation.
A much better call.

Work through these steps before your session. If anything is unclear or you need more time, let your CSM know in Slack.

Skool is your training and community hub. Slack is your main support channel.

  1. Watch the introduction and submit the onboarding form above.
  2. Join your dedicated Slack channel and Skool. Introduce yourself and send us the emails of any teammates who need access.
  3. Configure Calendly ↗ with the right calendar, availability and time zone.
  4. Complete niche selection ↗ and offer creation and your offer audit ↗.
  5. Bring your offer materials, questions and the name of the person who will manage replies.
  6. Confirm you’re ready in Slack. Only purchase tools and share access through the process your team provides.

YOUR ONBOARDING TEAM

ONCE YOU’RE LIVE

Keep the feedback
loop moving.

Check replies each working day.

Handle interested leads promptly, review AI handovers and keep your booking calendar up to date.

Send your report every Thursday.

Share outreach activity, positive replies, bookings, attended calls, sales outcomes and anything blocking progress. A booking is not a sale; report both separately.

Use your support.

Attend weekly 1-to-1 accountability calls during your first month and the coaching sessions included in your programme. Your CSM confirms the schedule and training deadlines.

COMMON QUESTIONS

Good to know.

Does done-for-you mean I don’t need to do anything?

No. We handle the agreed build, but we need your input, account access, approvals and participation. You remain responsible for prospect replies or AI oversight, sales calls and follow-up.

What must be ready before launch?

Your targeting and scripts are approved; required accounts and tools are connected; the initial lead list is ready; your booking calendar works; and a reply owner is in place. If you use AI replies, we confirm the configuration and handover process before relying on it.

What if I’m not getting bookings?

Tell your CSM and bring your activity and reply data. We review the path from outreach to replies to bookings and call outcomes, then agree the next test. Increasing volume is not always the right first step.

Will every reply be a qualified opportunity?

No. Replies can include questions, objections, poor-fit prospects and people who are not ready. Qualification and follow-up help identify the conversations worth taking further. Booked calls can also cancel or fail to attend.

Where do I send questions or changes?

Use your dedicated Slack channel and tag your CSM. Keep related updates in the same thread. Skool holds the training and community resources. For a scope change or extra purchase, agree the next step with your CSM first.

This page explains the working process. Your signed agreement defines your programme scope, duration and any specific commitments.
